The background for this is the new European General Data Protection Regulation (GDPR), which came into effect in all of Europe May 25, 2018 (GDPR). Performing Arts Hub Norway uses this opportunity to be clear on how we use your information.

WHO ARE WE?
Performing Arts Hub Norway is a private foundation, supported by The Norwegian Ministry of Culture and The Norwegian Ministry of Foreign Affairs. The purpose of the foundation is to be a national competence centre promoting professional performing arts, at a national and an international level, with emphasis on independent performing arts.

LEGAL OBLIGATIONS
Performing Arts Hub Norway stands legally responsible for its handling of personal data. In legal terms, this refers to the responsibility for determining the purposes of the handling of personal data and the means used in this handling. Performing Arts Hub Norway is responsible for ensuring that the treatment of personal data meets legal obligations. In the following, you will see where the responsibility is delegated. This delegation only concerns the actual tasks, not the responsibility.

HOW DO WE STORE AND HOW DO WE USE THE INFORMATION?
Below, you will find a description of which data we collect, what we use it for, and which options you have. Our services are directed towards professional performing arts (B2B) and not towards private citizens. Please feel free to contact us if there is anything unclear. If we do not hear from you, we conclude that you understand and accept that we store your personal data for best to be of assistance to you. 

– Our application portal stikk.no stores contact information, account numbers, organisation numbers, plus attachments, application texts and reports uploaded by the applicants. Information about allotments is also stored. This information is used for treatment of applications, public releases about allotted funds, plus generated statistics (anonymised). If you do not wish to share this information, you are excluded from applying for funds. Performing Arts Hub Norway is legally responsible for the handling of this data.

– Our accounting system stores necessary information connected to paying out funds, such as addresses, account numbers and organisation numbers, according to accounting laws. Performing Arts Hub Norway is legally responsible for the handling of this data.

– Our internal project management system stores contact information from our professional users and collaborators (B2B), and the history of their participation in our own and our collaborators' events. Performing Arts Hub Norway is legally responsible for the handling of this data.

– Our newsletter database only stores names, e-mail addresses and countries. This is used for regular dispatches of information concerning the field. Information on how to unsubscribe is included in every newsletter. Campaign Monitor processes this data. Your data is stored with us only for the abovementioned purpose, and we do not share it except for specific circumstances (see below). 

Performing Arts Hub Norway does not store sensitive personal data about our users. If you do not wish to have your personal data stored with us, you are excluded from applying for funds. If you have questions connected to this or if you wish to be deleted from our systems, please contact post@pahn.no.

HOW DO WE COLLECT INFORMATION?
We collect information via application forms in stikk.no, via collaboration with festivals/arrangers with international visiting programmes, via participation in our events, via direct contact from the field (e-mail), plus via open sources online (webpages). 

WITH WHOM DO WE SHARE INFO?
We share applications with members of external committees for evaluation, with embassies or consulates in the relevant countries, and with the media, when requested (note: we do not share business sensitive information). We also share contact information from participants of shared events and visiting programmes with our collaboration partners, mainly festivals and larger trade events. To share this is necessary to realise collaboration projects, and the delegates need to consent to this.

HOW LONG DO WE STORE INFORMATION ABOUT YOU?
Based in assignments from The Norwegian Ministry of Culture, Performing Arts Hub Norway stores personal data necessary to meet our mandate. This means that we are obligated to store personal information for a longer time, to be able to report on issues relevant to our work and the government's need for culture statistics. Information from our application portal which is not regarded as necessary to store long-term (for instance social security numbers or account information), is deleted after the work on the application is complete.

COOKIES AND ANALYTICS TOOLS
Our websites use cookies for identification of choice of language but will function satisfactory even if the user has turned off the function. In addition, the following third-party scripts are used:

Google Analytics
Collecting information on how visitors use the webpage. We use this information to improve the website. We register information on which pages are visited, where the users come from, when the pages were visited, which platforms and devices were used the most, et cetera.

Facebook Connect
Used so that users can log on with their own profiles to comment on stories. You may read more at https://www.facebook.com/policies/cookies/

ShareThis
Allows users to share content via websites for social media and e-mail. If you use the sharing function, AddThis may store a cookie on your device to simplify your next use of the service. Only randomly generated numbers are stored. No personal or identifying information is stored. Cookies in ShareThis are third-party cookies not directly used by Performing Arts Hub Norway. We use ShareThis to allow users of pahn.no share content from the site to channels such as Facebook or Twitter.

HOW DO WE PROTECT THE DATA?
All information provided by users are transferred by secure encrypted lines (SSL) to our systems. Personal information is handled in a confidential manner, and your privacy is maintained.

Performing Arts Hub Norway's internal control mechanisms secure correct handling and protection of personal data according to legal regulations. The data are handled by different IT systems, all of which adhere to strict requirements for information security and storage. All access to the IT systems is regulated, and the traffic is logged.
